Paragon Bill Entry - Privacy Policy

This policy explains how Paragon Bill Entry ("the App"), a private internal tool operated by Paragon Contracting, LLC ("Paragon", "we"), handles information. The App is used only by Paragon for its own bookkeeping.

1. Information the App accesses

- From Paragon's QuickBooks Online company: vendors, expense accounts, customers and projects, existing bills, and company name, used to match and check new bills.

- Vendor bills that Paragon provides (PDF files and photos), which may include vendor names, addresses, invoice numbers, job addresses, line items and amounts.

The App does not collect information from the public, does not use cookies for tracking, and does not access payroll, banking or payment-card data.

2. How the information is used

Only to read vendor bills, propose matching QuickBooks Online bills, check for duplicates, and create bills that an authorized Paragon user has approved. Nothing is used for advertising or marketing.

3. Where the information is stored

- The App runs on a Paragon office computer. Bill files, the bill-entry log, and the QuickBooks connection tokens are stored on that computer and in Paragon's own Google Drive.

- Approved bills and their attached documents are stored in Paragon's QuickBooks Online company.

4. Service providers

- Intuit (QuickBooks Online) stores Paragon's accounting data under Intuit's own privacy policy.

- To read bill documents, the App sends each bill file to Anthropic's Claude API over an encrypted connection. Anthropic processes it under its commercial terms, which do not allow customer data to be used to train its models.

We do not sell, rent or share this information with anyone else.

5. Security

All connections to QuickBooks Online and Anthropic use encrypted (HTTPS) connections. Access keys and connection tokens are kept on Paragon's computer and are never published. Only people Paragon authorizes can use the App.

6. Retention and deletion

Information stays in QuickBooks Online and on Paragon's computer until Paragon deletes it. Disconnecting the App from QuickBooks Online stops all further access.

7. Changes

We may update this policy; the date at the top shows the latest version.
